Position Summary
Reporting to the Manager, the incumbent provides timely assistance to internal and external clients and provides support to various teams within the Registrar’s Office. This includes frontline service at the Welcome Desk, support with registration and records tasks, and other clerical duties.
Duties and Responsibilities
- Act as a resource to students, staff, faculty, administrators, and the public
- Respond professionally and efficiently to telephone, email, and in-person enquiries related to all Registrar’s Office processes, at all campuses/locations, including registration, fees and payments, financial aid (OSAP and bursaries), credit transfer, and scheduling
- Refer inquiries for other departments of the College
- Assist students with navigating online self-service tools, including myLoyalist student portal, website, and OSAP website/application portal
- Assist students with OSAP access number (OAN) and/or password reset
- Provide feedback and makes recommendations to the Manager for improvements regarding information triage processes, procedures, and student and public-facing information
- Fulfill transcript, enrolment verification, and other documentation-related requests from students and authorized third parties
- Assist with credential and transcript preparation, mailing/pick up
- Create and updates student profiles and records, including name and Ontario Education Number (OEN) updates
- Respond to inquiries and completes/updates registrations for non-standard offerings, including but not limited to apprentice, continuing and distance education, corporate training, Career and College preparation, camps, and general interest courses
- Support general education elective registration processes each term; updates dates and information, monitors requests, confirms preferred course availability or identifies alternate course, completes/confirms registration
- Maintain and organize Welcome Centre reception desk and area
- Manage incoming mail and faxes
- Document management including scanning, filing, shredding
- Provide back-up support to other front-line positions in the Welcome Centre
- Assist with College events, including but not limited to convocation, open house, and student service fairs
- Provide in-person support at other campuses/locations on an ad-hoc basis, as required
- Other duties as assigned
Qualifications
- Completion of a two (2) year College diploma
- Minimum of 2 years work experience in an office or client service environment, managing inquiries and records
- Experience in an elementary, secondary, or post-secondary environment is considered an asset
- Experience with information management and record management in a database
- Excellent client service skills, including verbal and written communications, negotiation, judgement, and conflict resolution
- Excellent planning, organizational, and time-management skills
- Strong attention to detail and problem-solving skills
- Takes initiative with the ability to prioritize and work under pressure within specified timelines
- Ability to work independently and as part of a team
- Demonstrated commitment to truth and reconciliation, valuing diversity, and contributing to an inclusive and accessible working and learning environment
- Proficiency with Microsoft Office Suite, including Excel
- Valid Ontario Driver’s License
