We are seeking a friendly, professional, and organized receptionist to serve as the first point of contact at our tax preparation office. The receptionist will play a crucial role in ensuring smooth day-to-day operations by managing front desk activities, assisting clients, and providing support to the tax preparation team.
Key Responsibilities:

Client Interaction:
* Greet clients and visitors in a courteous and professional manner.
* Answer incoming phone calls, emails, and inquiries, providing information or directing them to the appropriate team member.
* Schedule and confirm appointments for tax preparation services.
* Assist clients with check-in procedures and ensure all required documents are collected.

Administrative Support:
* Maintain an organized and clean front desk and waiting area.
* Manage office correspondence, including mail, packages, and messages.
* Prepare, update, and maintain client files in accordance with confidentiality guidelines.
* Process payments and issue receipts for services rendered.

Technology & Documentation:
* Use office software to schedule appointments, input client data, and maintain office records.
* Print, scan, and organize tax-related forms and documents as required.
* Support preparers by assembling completed tax packages and ensuring client communication regarding pickup or mailing.

Customer Service:
* Provide information on services, document requirements, and fees to clients.
* Address client concerns or complaints and escalate issues to management as needed

Requirements

Education & Experience:
* High school diploma or equivalent (required).
* Previous experience in an administrative or receptionist role (preferred).
* Experience in a tax preparation or financial office is a plus.

Skills & Abilities:
* Excellent verbal and written communication skills.
* Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (copiers, scanners, phones).

Strong organizational and multitasking abilities.
* Customer-focused with a professional and friendly demeanor.
* Ability to handle sensitive client information with discretion and confidentiality.

Work Environment:
* Fast-paced, client-facing role during tax season (potential for extended hours during peak times).
* Office-based with standard business hours (flexibility may be required).
